2. Information we collect

We may collect personal information when you make, manage or cancel a reservation, contact us, visit our restaurant, use our website or communicate with our staff.

This may include:

  • first name and surname
  • email address
  • telephone number
  • reservation date and time
  • number of guests
  • booking status
  • booking amendments and cancellation history
  • table allocation and operational reservation information
  • dietary requirements
  • allergy or intolerance information voluntarily provided by you
  • special requests such as celebrations or accessibility requests
  • communications relating to your reservation
  • customer booking history
  • authorised staff notes and customer tags where used
  • technical and security information generated when our website or systems are used

Our Guestbook may retain a customer’s booking relationship and booking history so authorised restaurant staff can provide customer service and manage future reservations.

Booking-specific dietary requirements and special requests remain associated with the relevant reservation and are not automatically converted into permanent CRM notes or customer tags.

3. Why we use your information

We use personal information to:

  • create and manage restaurant reservations
  • check restaurant and table availability
  • communicate booking confirmations
  • process booking amendments
  • process booking cancellations
  • respond to questions about a reservation
  • prepare appropriately for your visit
  • record dietary requirements or special requests you choose to provide
  • provide appropriate customer service
  • maintain accurate reservation and guest history
  • operate and secure our website and booking systems
  • prevent misuse, fraud and unauthorised access
  • protect customers, staff and property
  • comply with legal and regulatory obligations

4. Our lawful bases

For ordinary reservation information, we normally process information because it is necessary to take steps at your request before entering into an arrangement with you or to manage the restaurant booking you have requested.

We may also process information where necessary for our legitimate interests, including:

  • managing restaurant operations
  • maintaining accurate reservation records
  • providing customer service
  • securing our systems
  • preventing misuse
  • protecting our customers, staff, premises and property

Where processing is required by law, we may process information because of a legal obligation.

5. Dietary, allergy and health information

You may choose to provide dietary information when making or managing a reservation.

Some dietary information may reveal information about your health, for example an allergy, intolerance or medical dietary requirement. Health information receives additional protection under UK data protection law.

Where you voluntarily provide allergy, intolerance or other health-related information, Georgian Table uses it only for the purpose of managing your reservation and helping us prepare appropriately for your visit.

Where required, we rely on your explicit consent for processing this type of special-category information.

Providing dietary or allergy information is optional.

You can withdraw your consent for future processing by contacting georgiantable@outlook.com. Withdrawal of consent does not affect processing that was lawful before withdrawal.

Dietary and allergy information is not used for advertising or marketing.

Important: information entered into the dietary requirements field helps us prepare for your visit but does not replace discussing serious allergies or intolerances directly with restaurant staff. Customers with serious or potentially life-threatening allergies should contact Georgian Table directly before their visit.

6. Transactional booking emails

We use the email address supplied with a reservation to send transactional messages relating to that booking.

  • booking confirmation
  • booking amendment confirmation
  • booking cancellation confirmation

These messages are operational messages and are not marketing emails.

Booking emails are currently delivered using Resend. Customers are not added to any marketing list merely because they have made a reservation.

7. Service providers

We use trusted technical service providers where necessary to operate the website, reservation system, email delivery, hosting, database infrastructure, security and related services.

Resend is used to deliver transactional reservation emails. Our website, reservation database and staff systems are operated using website hosting and database infrastructure providers.

Service providers only receive information necessary to provide the relevant service.

8. International data transfers

Some service providers may process personal information outside the United Kingdom. For example, Resend may process customer email data in the United States.

Where personal information is transferred outside the United Kingdom, Georgian Table takes appropriate steps intended to ensure that the transfer is made using a lawful transfer mechanism and appropriate safeguards where required.

9. How long we keep personal information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

Reservation and customer history may be retained where reasonably necessary for:

  • reservation management
  • customer service
  • maintaining an accurate guest history
  • resolving disputes
  • security
  • establishing or defending legal claims
  • complying with applicable legal obligations

We periodically review information and delete or anonymise information when it is no longer reasonably required. Booking-specific dietary, allergy and special-request information is not retained longer than reasonably necessary.

CCTV has a separate retention period explained below.

10. CCTV

CCTV operates at the Georgian Table restaurant. The CCTV system records video only. It does not record audio.

The system is used for purposes including:

  • safety
  • security
  • prevention and detection of crime
  • protection of customers
  • protection of staff
  • protection of property
  • investigation of incidents

Our lawful basis for ordinary CCTV use is our legitimate interest in maintaining a safe and secure restaurant and protecting people and property.

CCTV footage is stored locally on equipment at the restaurant. It is not routinely stored with an external cloud CCTV provider.

CCTV footage is normally retained for up to 30 days and is then deleted or overwritten. Individual footage may be preserved for longer where reasonably necessary in connection with:

  • a specific incident
  • an investigation
  • a request from law enforcement
  • an insurance matter
  • establishing, exercising or defending legal claims
  • another legal requirement

Access to CCTV footage is restricted to authorised persons. Where appropriate and lawful, CCTV footage may be provided to police, law enforcement authorities, insurers, legal advisers or other relevant authorities. CCTV signage is displayed at the restaurant so people know that recording is taking place.

11. Security

We use reasonable technical and organisational measures intended to protect personal information.

Access to reservation information, Guestbook information, staff systems and CCTV footage is limited to authorised personnel who require access for legitimate restaurant purposes.

12. Cookies and similar technologies

Our website uses only strictly necessary technologies. These are used for essential operation and security, such as keeping the website working correctly, maintaining secure staff sign-in sessions for the private staff area, and remembering basic interface preferences for staff.

We do not use analytics cookies, advertising cookies, marketing pixels, behavioural tracking, session recording or fingerprinting on this website.

Our Visit Us page offers an optional embedded Google map. This is third-party content and is not strictly necessary, so it is not loaded automatically. The map only loads if you choose to press “Load Map”. Loading the map connects your device to Google and may allow Google to store or access information on your device under Google’s own terms and privacy policy. If you do not load the map, no Google Maps content is requested by the page. Links such as “Get Directions” simply open Google Maps in a new tab when you click them.

13. Your data protection rights

Depending on the circumstances and the lawful basis being used, individuals may have rights including:

  • the right to request access to their personal information
  • the right to request correction of inaccurate information
  • the right to request deletion in certain circumstances
  • the right to request restriction of processing in certain circumstances
  • the right to object to certain processing
  • the right to data portability where applicable
  • the right to withdraw consent where processing relies on consent

To make a privacy request, contact georgiantable@outlook.com. We may need to verify your identity before responding to a request.

14. Complaints

Please contact Georgian Table first if you have concerns about how your personal information is handled.

You also have the right to raise a complaint with the UK Information Commissioner’s Office (ICO).

15. Changes to this Privacy Policy

We may update this Privacy Policy when our services, systems or legal obligations change. The latest version will always be available on this page.
